Introducing Portal & Email Interfaces

Charts is constantly seeking new ways to automate those mindless, repetitive tasks that keep you from doing what you do best: running your property. So let us now introduce two new Charts interfaces: Charts Portal and Charts Email.

How much time do you spend each day updating your allocations at Wotif, HostelWorld, QuickBeds, etc? How often does the complexity of selling down to the last room result in either over-booking or missed opportunities? How difficult is it keeping track of every one of those portal passwords and having a trained staff member keeping each portal up-to-date? In short, you can't live with portals, and you can't live without them! Well all that has changed with Charts' new Portal Interface.

Imagine if a customised, professional, colourful confirmation email was automatically sent out each night to all new reservations made that day. The email could contain anything: details of the reservation or directions and a map to your property. Or imagine if every night during night audit, all the day's financials were automatically emailed to your head office. Think about the productivity you would gain, and the professionalism you would radiate. Introducing the latest arrow in the Charts quiver: Charts Email!

Charts Portal

Our clients have found it frustrating to maintain various Internet based reservations systems which can generate a sizeable chunk of business. Often we had been asked if we could interface to them. We can now interface using powerful technology we have developed ourselves. We call this interface Charts Portal.

The portal interface works in a similar way to the current Web interface. It allows the hotel to nominate which Portals it has subscribed to, and put in the user name and password for each portal. Then an allotment can be set up for either each portal or for all portals combined, or you can simply (as with the Web interface) publish all available rooms at predefined rates. Charts Portal will automatically update all the portals with the hotel's availability. This interface can be configured to update availability every 'x' minutes (most properties choose to make it every 5 or so minutes). Charts Portal will pull down any reservations which have been received and put them straight into Charts.

Currently we are interfacing in real-time with Wotif.com, RatesToGo.com, Quickbeds.com, NeedItNow.com, LastMinute.com & HostelWorld.com - and we expect to double this list during February.

Charts Email

The integrated email facilities within Charts have taken a leap forward in the last month. You can now generate graphically rich confirmation emails to send to any of your clients, if you have their email address in your guest record. A confirmation email template developed in HTML can provide your clients with not only their basic booking information but also marketing and promotional information if you wish.

Another very powerful feature of the Charts built in email server is its ability to email reports to nominated parties automatically at night audit. This is invaluable for property owners and accountants who are off site.

The set up of this facility is reasonably simple, but preferably requires our remote access and some assistance from the property’s IT support personnel.
