How often have you wished you could do repetitive functions in Charts with 2 keystrokes? This has been a feature in Charts which has been available for a long time but is not used by many people. A hot key function is invoked by pressing F5 then the predefined letter on the keyboard. eg F5 then R should normally take you to the 'check in with reservation' screen.

It can be a great time saver. Learn to use it!

It is possible to set up any key on the keyboard to perform many keystrokes, print a group of reports or post a specific charge. Setting up new 'hot keys' is now very easy through an automated recording of a 'hot key' macro. Once you set up a hot key at one Charts terminal, it becomes available for use at every Charts terminal.

How to set up a hot key in two minutes

In this example we will set up a Hot Key for printing a 'Rooms Checking Out Today' Report. We will use the key T for today (i.e. the hotkey becomes F5 and then T).

From the Main Menu, hit A for Audit/Management, S for the Supervisor Menu and 8 for Kbd Macro Management. You will see a screen similar to the following:

Hit 1 for Start Keyboard Capture. When you see the following screen, enter T and hit F10.

You will now see the following screen:

Now, from the moment you press F11 until you press it a second time, every keystroke you make in Charts will be recorded. Follow these steps:

1. Hit F11 to start the capture.
2. Hit F8 to go to the Main Menu (always do this in a hot key so that the hot key can be used from anywhere within Charts).
3. Hit 3 for Housekeeping.
4. Hit B for Rooms Checking Out Today.
5. Hit F10 to select default options.
6. Hit Y because we DO want to print.
7. Hit N because we DON'T want to print-to-screen.
8. Hit ENTER to initialise print job.
9. Hit F11 to end capture.

And that's that. Now, whenever you press F5 and then T, from wherever you are in Charts, a 'Rooms Checking Out Today' list will be printed.
